**The four best debtors management software tools for Xero in South Africa in 2026 are Paidnice, Chaser, Satago and Statey, ranked on what each adds to Xero's native reminders and whether it prints a rand price. Only Paidnice prices in rand.**

Paidnice runs reminders, statements and late fees from the ledger and bills in rand. Chaser and Satago add credit data, priced in pounds. Statey does customer statements only. Billdozer, a fifth app on the South African Xero App Store, is covered below without a numbered entry.

The three things South African Xero users most often ask Xero to add to debtor chasing, from the [Xero product ideas board](https://productideas.xero.com/forums/967115-invoices-quotes/suggestions/44960305-sales-invoices-add-interest-to-late-invoices-in), vote counts read 14 September 2026. Each one is the job an add-on does.

Tools are ranked on what they add beyond Xero's five native reminders, a published rand price, whether a charge lands on the Xero ledger, a South African Xero App Store listing, and rating with count, in that order. All four list on the South African Xero App Store.

## Best debtors management software Xero South Africa

**For most South African businesses on Xero, Paidnice is the pick: it lists on the South African store, costs R1,100 a month on entry, and posts late fees and interest to the ledger. Chaser and Satago add credit data. Statey does statements only.**

- **Reminders, statements, late fees and payment plans from one tool, in rand:** Paidnice.

- **A credit controller's workflow with Creditsafe credit checks, email, SMS and letters:** Chaser, priced in pounds by turnover.

- **Credit reports and chasing on Xero or Sage:** Satago, priced in pounds, sold from the UK.

- **Better customer statements and nothing else:** Statey, a Xero-certified plugin.

- **A fifth app on the South African store:** Billdozer, 5.0 from 8 reviews, in prose only because no verified pricing or feature record was available.

## Xero debtors management integration South Africa

**A debtors management integration connects to a Xero organisation through the Xero App Store, reads invoices and contacts, and sends what Xero cannot: SMS reminders, scheduled statements and late fees. Xero stops at five emails.**

Xero gives every South African organisation up to five invoice reminders, three on by default, each sent a set number of days before or after the due date, with no contact-group control. SMS reminders, scheduled statements and interest on late invoices are open items on the [Xero product ideas board](https://productideas.xero.com/forums/939198-for-small-businesses/suggestions/44961106-invoice-reminders-auto-email-statements-to-custo), with the vote counts shown above.

Connecting an add-on takes three steps for every tool on this page:

1. Open the app's listing on the South African Xero App Store, or sign up on the vendor's site, and connect it to Xero.

2. Authorise the Xero organisation the app will read. Multi-entity firms repeat this per organisation, and some vendors charge per organisation.

3. Set the rules: which contacts are chased, on what schedule, and whether a fee or statement is raised back into Xero as a draft or an approved document.

The third step separates the four. Statey writes nothing back. Chaser syncs a fee as a line item under one rule for the whole ledger. Paidnice raises the fee or interest invoice on the ledger under a policy that can differ by customer group. Satago does not document write-back.

## Debtors management software for Xero compared: the table

**All four list on the South African Xero App Store; Paidnice is the only one with a rand price. Chaser and Satago are priced in pounds and carry credit checks. Statey is the cheapest and does statements only.**

## 1. Paidnice

Best for South African businesses on Xero that want reminders, statements and late fees priced in rand

### What is it best for?

For a South African business on Xero or QuickBooks Online that wants chasing, statements and late fees to run from the ledger, billed in rand, without a credit controller on staff.

**Fits:** Finance teams between $1m and $20m a year, or the rand equivalent, on Xero or QuickBooks Online, with or without a credit controller

**Regions:** South Africa, United Kingdom, Australia, New Zealand, United States, Canada; charges in rand for South African customers

**Entry cost:** R1,100/mo on Essentials, covering 150 invoices, 600 emails and up to 2 team members; Pro from R1,600/mo with unlimited users and no per-seat fee; SMS R1.80 each. As at September 2026, verify current pricing

**Rated:** 5.0 from 83 [Xero App Store](https://apps.xero.com/za/app/paidnice) reviews on the South African store as at 14 September 2026; 4.9 from 14 on [Capterra](https://www.capterra.com/p/254868/Paidnice/); 4.7 from 29 on [Trustpilot](https://www.trustpilot.com/review/paidnice.com)

**Awards:** Winner, New Zealand Small Business App of the Year, Xero Global App Awards 2026; 2025 Xero Global Small Business App of the Year

**Runs on:** Xero, QuickBooks Online, Stripe, Pinch Payments, CloudDepot, HubSpot, Pipedrive, Zapier. NetSuite, Sage Intacct, MYOB and Dynamics 365 Business Central on the Custom plan only

**Statutory late fees:** Yes. Flat, percentage or compounding late fees per invoice, and a statement interest charge per customer at an annual rate prorated by day; policies sit under customer groups so different groups run different rules at once. The rate is user-entered; no South African prescribed-rate preset is documented

**Does best:** Two charge types on the same customer group, an invoice late fee and a statement interest charge, both raised on the Xero ledger as Draft or Approved

**Paidnice** is the enforcement layer on top of Xero: reminder sequences per customer group by email and SMS, statements on the schedule you set including consolidated parent accounts, payment plans, a customer payment portal, and escalation tasks for the invoices that ignore all of it. Pricing is hard-coded in rand, so a South African subscriber is not paying a converted dollar figure that moves with the exchange rate.

The late fee machinery is the reason it ranks first here. An invoice late fee is charged per overdue invoice; a statement interest charge is calculated per customer on the whole overdue balance, net of any credit, and recalculated when the statement sends. The charge is raised on the ledger as Draft or Approved, so a reviewer can check it before the customer sees it.

Customers report that they cut their average wait for payment in half, within 30 days. A single disputed invoice can be lifted out of a policy by reference without switching the policy off for the rest of the customer's account.

**Limitations with Paidnice.** It runs on Xero and QuickBooks Online only, so a South African business on Sage or another ledger cannot buy it, and NetSuite, Sage Intacct, MYOB and Dynamics 365 Business Central are a Custom-plan build rather than a standard connector.

- There is no bureau credit check, so it enforces terms without helping you decide who should have had them.

- The entry tier covers two team members and 150 invoices a month; higher volumes move to Pro.

- Reviewers on Capterra describe the interface as "still a bit clunky and not intuitive enough" during initial setup, and one asks for bulk removal of late fees.

## 2. Chaser

Best for larger teams that want credit checks and a credit controller's workflow, priced in pounds by turnover

### What is it best for?

For an established South African finance team with a named credit controller that wants Creditsafe credit checks, email, SMS and letter chasing from one system, and is comfortable paying in pounds.

**Fits:** Businesses with a credit controller; the entry tier is priced for £4m turnover and under, and the tiers run to £200m, though Chaser's own pricing page states £100m

**Regions:** UK-registered, trading since 2014, sells worldwide; no South African pricing or presence published

**Entry cost:** £199/mo on Compact for turnover to £4m with 4 users; Core £599/mo to £10m; Complete £899/mo above that. No rand price published.

**Rated:** 4.98 from 374 [Xero App Store](https://apps.xero.com/uk/app/chaser) reviews, UK listing, read 14 September 2026; 4.5 from 68 on [G2](https://www.g2.com/products/chaser/reviews)

**Awards:** Xero App Partner of the Year 2023

**Runs on:** Xero, QuickBooks, Sage 50, Sage 200, Sage Intacct, Sage Business Central, NetSuite, Dynamics 365, AccountsIQ, SAP, HubSpot, Gmail, Outlook

**Statutory late fees:** Yes. Four calculation types (fixed, percentage, daily percentage, and a UK base-rate type), recalculated daily, but one global rule only, which cannot vary by schedule or customer group, and no fee is raised on payment-plan or partially paid invoices. Xero-only line-item sync

**Does best:** Creditsafe credit checking and monitoring in the same tool as email, SMS and letter chasing

**Chaser** has been in the market since 2014 and is the established, larger-business tool of the four. Reminders send from the team's own Gmail or Outlook mailbox, with SMS, letters and automated calls as credit-metered channels, a payer portal, per-invoice payment plans and integrated collections through a partner.

The credit checking is the part a South African buyer should read closely. Reports are carried out by Creditsafe and cost one credit each in the UK and Ireland, four credits elsewhere. Whether Creditsafe's coverage of South African companies matches its UK depth is not published by Chaser, so treat that as a question for the demo rather than a given.

**Limitations with Chaser.** Pricing is in pounds and tiered by company turnover, so a South African business pays in a foreign currency and moves up a tier as revenue grows, whether or not the ledger got harder.

- One global late-fee rule means one figure for the whole ledger; there is no way to suspend it for a single disputed customer without switching it off for everyone.

- No fee is raised at all on an invoice that has been part paid or put on a plan.

- Statements go monthly only, on a fixed day, and Compact caps the team at four users.

## 3. Satago

Best for Xero or Sage teams that want credit reports beside their chasing, sold from the UK

### What is it best for?

For a business on Xero or Sage that wants customer credit scores and suggested credit limits in the same screen as its reminder schedule, and does not need late fees verified.

**Fits:** Not published; the standalone plans are priced per company with email and SMS allowances rather than by turnover

**Regions:** United Kingdom; no South African presence or pricing published

**Entry cost:** £45/mo Basic with 25 credit reports and 100 email reminders a month; Premium £80/mo with unlimited email, 100 SMS and payment integrations; Platinum £200/mo. No rand price published.

**Rated:** 4.93 from 92 [Xero App Store](https://apps.xero.com/uk/app/satago) reviews, UK listing, read 14 September 2026

**Awards:** None found

**Runs on:** Xero, Sage, Sage 50, QuickBooks, KashFlow, FreeAgent

**Statutory late fees:** Not documented. Satago's public material describes reminders, statements, thank-you emails, customer grouping and scheduling; no late fee or interest mechanic could be confirmed

**Does best:** Credit reports, customer credit scores and credit limit suggestions bundled with automated chasing, plus invoice finance on the same account

**Satago** is a hybrid: automated credit control on one side and an invoice-finance lender on the other. On the software side it runs reminder schedules, statements, customer grouping and a mailbox of its own, with Basic capped at 100 email reminders a month and Premium adding SMS.

The credit data is what separates it from Paidnice and Statey. Every standalone plan includes a quota of full credit reports, customer credit scores and suggested credit limits, which is the decision most debtor tools leave to you. The finance side, cash advances on single or multiple invoices, is a UK lending product and its availability to a South African company is not published.

**Limitations with Satago.** Nothing on Satago's public pages addresses South Africa: no rand price, no South African store listing found, and the credit-report and invoice-finance products are built around UK company data and UK lending.

- Late fees, payment plans and a customer portal are not documented, so none of the three is scored here.

- The entry tier caps email reminders at 100 a month, which a ledger of a few hundred debtors will exceed.

## 4. Statey

Best for a Xero organisation that only needs better customer statements

### What is it best for?

For a small Xero organisation whose only gap is scheduled, well-formatted customer statements with age analysis, and which chases by other means.

**Fits:** Not published; priced per Xero organisation with unlimited users on every tier

**Regions:** Wellington, New Zealand; sells worldwide through the Xero App Store; no South African pricing published

**Entry cost:** $10/mo Starter per Xero organisation, currency not marked on the vendor site; Standard $25/mo adds Excel download, multi-currency and smart recipient lists; Pro $50/mo adds multiple schedules and a custom sending domain. 32-day trial, no card.

**Rated:** 4.6 from 10 [Xero App Store](https://apps.xero.com/uk/app/statey) reviews, UK listing, read 14 September 2026; nine five-star and one one-star

**Awards:** None found; featured in a Xero developer blog spotlight, May 2025

**Runs on:** Xero only, synced every six hours

**Statutory late fees:** No. Statey sends statements and does not chase, charge, escalate or take payment

**Does best:** Statement age analysis with four calculation methods, delivery statistics, and smart recipient filters that pick who gets a statement

**Statey** is a single-purpose plugin from three developer co-founders in Wellington. It sends customer statements on a weekly or monthly schedule as PDF, with an age analysis section that can be calculated from invoice date or due date, by calendar month or exact days, and 30, 60 and 90 day columns you can rename.

Recipient targeting is the clever part. By default it statements every customer with an outstanding balance; smart groups, an active-customer filter and a Don't Send list narrow that down, and delivery statistics show who is receiving statements and who is not. Reviewers praise the support response time.

**Limitations with Statey.** It is a statements tool, and its own material says so: it does not send reminders, apply late fees, take payments, run a portal or escalate anything.

- The Starter tier watermarks statements and has no custom sending domain; both need Standard or Pro.

- Pricing carries no currency mark on the vendor site, so a South African buyer should confirm what R-figure the card is charged before subscribing.

## Statey Xero South Africa

**Statey is available to any South African Xero organisation through the Xero App Store at $10, $25 or $50 a month per organisation, currency not marked. It does scheduled statements with age analysis only, and does not chase, charge or take payment.**

The fit is narrow: a business whose debtors pay on a clean, aged statement and whose reminders already run through Xero's five native emails. A business that also needs SMS, late fees, payment plans or a portal is buying a second subscription beside a chasing tool. Paidnice already includes scheduled statements, including consolidated parent-and-child statements, so a business that picks Paidnice does not need Statey as well.

## Billdozer Xero South Africa

**Billdozer lists on the South African Xero App Store at 5.0 from 8 reviews, all five-star, read 14 September 2026. It has no numbered entry here because no verified pricing or feature record was available, so nothing below rates the product.**

Source: [Billdozer on the South African Xero App Store](https://apps.xero.com/za/app/billdozer). Eight reviews is a small base and breaks no ties here. A buyer shortlisting it should put the same five questions to the vendor: what it adds beyond Xero's reminders, the rand price, whether a fee lands on the ledger, the store listing, and the review count. Billdozer does not document its pricing, features or Xero write-back.

## Which tools offer payment plans

**Paidnice and Chaser offer payment plans. Satago does not document one and Statey has none. Chaser's own documentation says its chasing follows the original invoice due date rather than the instalment dates.**

Paidnice takes deposits, instalments and auto-pay through Stripe and Pinch Payments, shown in the customer portal. Chaser runs per-invoice instalment plans from weekly to yearly, but chasing follows the invoice due date, no late fee is raised on an invoice under a plan, and plans are unavailable on trial, Custom and Care tiers. Ask any vendor to show a missed instalment triggering the next reminder in the demo.

## How to choose by revenue band

**Under about R20m turnover, Paidnice or Statey. Between R20m and the rand equivalent of £4m, Paidnice or Chaser Compact. Above that, Chaser Core or Complete, or Paidnice Pro with a Custom plan for ERP ledgers. Satago publishes no band.**

| Turnover | Shortlist | Why |

| Under R20m | Paidnice Essentials, or Statey if statements are the only gap | R1,100 covers 150 invoices and two users; Statey's Starter tier is cheaper again but chases nothing |

| R20m to about £4m equivalent | Paidnice Pro, Chaser Compact | Paidnice Pro from R1,600 with unlimited users; Chaser Compact at £199 for four users, with credit checks |

| Above £4m equivalent | Chaser Core or Complete, Paidnice Pro or Custom | Chaser steps to £599 and £899 by turnover; Paidnice steps by invoice volume, from R3,300 for 600 invoices |

| Any band, credit data first | Satago, Chaser | Both bundle credit reports; neither publishes a South African price |

Chaser's tiers are set in pounds by turnover; Paidnice's in rand by monthly invoice volume. Rand-to-pound conversions are the reader's to make on the day. Figures as at September 2026.

## How to choose by ledger

**On Xero, all four are available. On QuickBooks Online, Paidnice, Chaser and Satago. On Sage, Chaser and Satago only. On NetSuite or Dynamics 365, Chaser as standard or Paidnice on its Custom plan.**

- **Xero only:** any of the four; Statey runs on nothing else.

- **Xero plus QuickBooks Online across entities:** Paidnice, Chaser or Satago; Paidnice charges R450 a month per extra entity.

- **Sage 50 or Sage 200:** Chaser or Satago. Paidnice cannot be bought for a Sage ledger.

- **NetSuite, Sage Intacct, Dynamics 365 Business Central:** Chaser as a standard connector, or Paidnice on its Custom plan from R16,000 a month.

## What debtors management software costs in 2026

**One of the four prints a rand price: Paidnice at R1,100 a month on Essentials and R1,600 on Pro 300. Chaser prints £199, Satago £45, and Statey $10 with no currency marked. **

The pricing metric decides the bill: Chaser steps by turnover, Satago by credit-report and reminder allowances, Paidnice by monthly invoice volume with no per-seat fee, and Statey per Xero organisation.

Annual cost in rand: enter your invoice volume

Worked example: 150 invoices, 50 SMS and one Xero organisation is R1,100 plus R90 of SMS, R1,190 a month, R14,280 a year. Plan steps: Essentials to 150 invoices (R1,100), Pro 300 (R1,600), Pro 600 (R3,300). Above 600 invoices the price is not printed on this page.

| Tool | Printed from-price | Twelve months | Rand price |

| Paidnice | R1,100 a month | R13,200 | Yes, billed in rand |

| Chaser | £199 a month | £2,388 | Not published |

| Satago | £45 a month | £540 | Not published |

| Statey | $10 a month per organisation | $120 | Currency not marked |

Twelve-month figures multiply the vendor's printed monthly from-price by 12 in the currency the vendor prints; no exchange rate is applied. Chaser steps by turnover and Satago by allowances, so your invoice volume does not move their price.

Set those figures against what a late fee is worth. A South African supplier may charge interest on an overdue commercial debt where the contract provides for it; where it does not, the default rate is set under the Prescribed Rate of Interest Act. That is the Prescribed Rate of Interest Act 55 of 1975, under which the Minister of Justice sets the rate and publishes it in the Government Gazette.

On a ledger with a few hundred thousand rand overdue, a monthly interest policy covers a R1,100 subscription many times over, if the charge is raised and the customer pays.

Bookkeepers in South Africa report that interest is rarely raised at all, and when it is, it is a manual invoice that is stale within a week. Xero already sends the reminder. Software earns its place on the charge: computed daily, netted against credits, and sitting on the ledger where the customer's own creditors clerk has to deal with it.

## Common questions

**The questions South African Xero users ask while shortlisting: what debtor management means, what Xero does and does not do on its own, whether free tools exist, and which of the four lists on the South African store.**

### What is debtor management?

Debtor management is the work of getting paid what customers owe: setting terms, invoicing on time, reminding before and after the due date, statementing the account, charging what the terms allow when it runs late, and escalating what still does not pay. Software takes the repetitive middle of that list off a person's desk.

### What are the disadvantages of Xero for debtor management?

Xero sends up to five email reminders per organisation and stops there: no SMS reminders, no scheduled statements, no interest on late invoices, and no contact-group control over who gets which reminder. Each is an open item on Xero's own product ideas board, one since 2012.

### Is there free debt collection software for Xero?

Xero's own reminders are free and cover a business with a handful of debtors who pay on the first nudge. None of the four tools here is free. Statey is the cheapest at $10 a month per organisation, and Paidnice starts at R1,100.

### Which of these tools lists on the South African Xero App Store?

Paidnice and Billdozer list on apps.xero.com/za as at 14 September 2026. Chaser, Satago and Statey list on the UK store. Xero's review pool appears to be shared across regional store URLs, so a rating does not change by region.

### Which tool charges interest on overdue invoices in South Africa?

Paidnice raises an invoice late fee or a statement interest charge on the Xero ledger, at a rate set per customer group. Chaser applies one global late-fee rule. Satago does not document its late fee handling and Statey has none. Confirm the rate the contract or the prescribed rate allows before switching a policy on.

### Is Xero like Excel?

No. Xero is a double-entry general ledger with bank feeds, invoicing and reporting; Excel is a spreadsheet. Only the ledger can raise a reminder, a statement or a late-fee invoice against a customer account, which is what every tool on this page relies on.
