**Kolleno’s hardest problem is a payment that has already arrived. Paidnice’s is an invoice that has not been paid.** Kolleno is an AI order-to-cash platform billed per user from $650 a month above a $1m turnover floor. Paidnice computes invoice late fees and statement interest per customer group and posts them to the ledger, from US$69 a month with no per-seat fee.

The second half of each of those sentences matters more than the first. One product is metered on how many people work the ledger. The other is metered on how many invoices cross it. On a three-person accounts receivable team that is a difference of roughly twenty times, and the next section prints it.

## One tool matches the cash. The other charges for it being late.

These two sit at opposite ends of the same cycle, and almost nothing in the middle overlaps.

Order-to-cash covers everything from raising the invoice to closing it against a receipt, and the last step is the hard one. A payment arrives as a bank file or a remittance email, possibly in a different currency from the invoice, net of a bank fee, covering seven invoices and one credit note. Matching that back to the ledger without a person reading it is the work Kolleno is built around.

Enforcement covers what happens to the customer who has not paid at all. It sends the reminder, issues the statement, computes the charge and posts it to the ledger so it lands in the customer’s own payables. That question is answered per customer group, not per bank file, and it needs no matching engine, because the ledger already knows what is outstanding.

A business feels one of these two problems acutely and the other barely at all. Which one you feel is the decision, and it is usually obvious within a minute of asking whose desk the backlog is sitting on. No fee or interest function appears anywhere in Kolleno’s materials, so the arithmetic stays a manual journal in the ledger.

## The seat maths: three people on the AR team

Kolleno charges per user. Paidnice charges by invoice volume and includes unlimited users from Pro. Team size is the variable that decides this bill, and it decides nothing on any other comparison in the category.

Kolleno prices are per user per month and are displayed in the visitor’s currency; extra charges may apply for integrations, customizations and add-ons. Paidnice Pro starts at US$99 a month from 300 invoices and steps with invoice volume rather than with seats. Prices read from Kolleno’s published per-user table and Paidnice’s published tier table in August 2026, with no vendor relationship either way.

Two conditions sit under the left-hand columns. BusinessPay is quoted only for turnover above $1m, so a smaller business does not get the one-seat price, it gets no price. Business Plus, at $1,245 per user or $995 on annual billing, carries a two-user minimum, so the step up from BusinessPay is never a single increment.

Paidnice’s column is flat because users are not the meter. Essentials at US$69 caps the team at two; from Pro at US$99 users are unlimited and the tier moves with invoice count instead, reaching $799 at 4,000 invoices a month and Custom from US$999 above that, billed from a fixed local price table rather than an FX conversion.

The honest reading of that table is not that one product is twenty times better value. It is that the two are priced for different jobs. Paying $3,900 a month for six seats is rational if six people are applying cash against bank files, and hard to justify if six people are sending reminders.

Cash application is the deepest thing on this page and nothing else in the category attempts it. Remittance emails are parsed into suggested matches, bank files arrive over SFTP in BAI2, NACHA and ISO 20022 formats, and the matching engine scores one-to-many and partial matches, offsets credit notes, and handles foreign exchange differences and bank fees, including multi-currency journal entries in NetSuite.

The collections half is competent rather than remarkable: trigger-based email and SMS workflows with conditional branches, run-hour restrictions and automatic escalation, a branded portal with saved payment methods, recurring and scheduled payments, credit notes and account statements, payment plans split weekly, monthly or bi-monthly, dispute reason codes, and continuously updated AI credit scores with bureau integrations and auto-adjusting limits.

Kolleno was founded in London in 2020 and has moved upmarket since, from small-business credit control to enterprise order-to-cash, and the pricing follows: per user, above a turnover floor, with a minimum user count on every tier above the first. The three AI tiers are included in every subscription rather than sold as an add-on.

**Limitations with Kolleno.** $650 per user a month with a $1m turnover floor puts it out of reach for most small businesses, and the second tier nearly doubles that at a two-user minimum. No late fee or interest function appears in its materials, so a late invoice costs the customer nothing inside Kolleno. Letters and calls are not workflow actions. Payment plans carry no interest, deposit or approval options, and uneven totals are split by hand. Custom email-domain setup is account-manager assisted rather than self-serve, extra charges may apply for integrations, customizations and add-ons, and reviewers name navigation and reporting depth as the recurring weak points.

Best for a Xero or QuickBooks Online business with no bank-file problem to solve, $1m to $20m, unlimited users from Pro

For a business whose payments already match themselves in the ledger, and whose actual problem is the invoices that have not been paid at all.

Paidnice does not attempt the reconciliation half of order-to-cash at all; it works the invoice up to the point cash arrives, and prices for a business that has no bank-file problem to solve. It reads the ledger’s own payment status rather than matching bank files, so the chase stops when Xero or QuickBooks Online says the invoice is paid and no matching engine sits in between. That is a smaller job, honestly described, and it is most of why the two per-seat prices are two orders of magnitude apart.

What it does instead is charge. An invoice late fee runs per overdue invoice and a statement interest charge runs on the whole overdue balance, both available on the same customer group, both raised on the ledger as a posted invoice, Draft or Approved, which is what puts them into the customer’s own payables and payment run. Statement interest recalculates at the moment the statement sends rather than at the last policy run, and is netted against any credit on the account. Compounding is on by default; simple interest is the deliberate choice.

Around the charge sits the ordinary ladder: reminders by email and SMS from your own authenticated domain, statements on any schedule including consolidated parent and child accounts, prompt payment discounts, payment plans with deposits and auto-pay through Stripe and Pinch Payments, a customer payment portal, and escalation through manual task workflows. An AI Credit Controller is in beta as at August 2026, with human approval before anything sends. Further Xero or QuickBooks Online organisations cost US$29 per entity a month.

**Limitations with Paidnice.** There is no cash application of any kind: no remittance parsing, no SFTP bank connections, no BAI2, NACHA or ISO 20022 handling, no match scoring and no foreign exchange or bank-fee postings. There is no credit checking, so no scores and no limits. It is native to Xero and QuickBooks Online only; NetSuite, Sage Intacct, MYOB and Dynamics 365 Business Central sit on the Custom plan as a build rather than a standard connector, and SAP, Workday, Oracle JD Edwards, Epicor, Infor, Odoo and Zuora are not served at all. The entry tier covers two team members, and unlimited users start on Pro.

## What cash application actually does, step by step

Follow one payment through Kolleno, because this is the capability nothing else in the category attempts and the one the per-seat price is really buying.

1. **A remittance advice arrives by email**, listing seven invoice numbers against a single payment of $41,204.16. Kolleno parses the email into a set of suggested matches instead of leaving it for a person to read.

2. **The bank file follows over SFTP**, in BAI2, NACHA or ISO 20022 format, carrying the payment as one credit line.

3. **The matching engine scores the candidates.** One payment against many invoices is the normal case, and partial matches are scored rather than rejected, so a payment that clears six invoices in full and one in part still resolves.

4. **A credit note is offset** against the outstanding line, rather than left to net out at some later date nobody has diarised.

5. **The currency difference and the bank fee are posted.** The payment is not in the invoice currency and it arrives net of a $14 fee, so both become their own postings instead of a stubborn remainder that no one can clear.

6. **The journal lands in the ERP**, as a multi-currency journal entry in NetSuite.

Now the honest part. A business on Xero raising 150 invoices a month does not have this problem. Payments arrive one to an invoice, the ledger’s own bank feed matches most of them, and the exceptions are cleared in an afternoon. Buying a per-seat order-to-cash platform to solve a reconciliation problem you do not have is the specific mistake this page exists to prevent, and it costs $650 a month per person to make.

## Where the ERP sits: NetSuite and SAP against Xero and QuickBooks Online

The ledger question removes more options than the budget does, and here it removes almost all of them.

Kolleno connects NetSuite, SAP S/4HANA and Business One, Sage Intacct, Dynamics 365, Workday, Oracle JD Edwards, Epicor, Infor, Odoo and Zuora, alongside Xero and QuickBooks Online, with a native NetSuite SuiteApp and multi-currency journal entries. Payment rails run through Stripe, Blink, Adyen and GoCardless, and Salesforce, ServiceNow and Clio sit alongside. One ledger account is included on the entry tier.

Paidnice is native to Xero and QuickBooks Online and to nothing else. NetSuite, Sage Intacct, MYOB and Dynamics 365 Business Central sit on the Custom plan as a build rather than a standard connector. Further Xero or QuickBooks Online organisations are added through a multi-entity add-on at US$29 each a month. Neither tool reaches Sage 50 or Sage 200.

On Xero itself the review bases point in different directions. Paidnice holds 5.0 from 82 Xero App Store reviews verified 20 August 2026 and reads Xero parent and child relationships for consolidated statements. Kolleno holds 5.0 from 18 on the UK store, 4.9 from 99 on G2 and 5.0 from 8 on Capterra.

## AI in both products, and what each one is pointed at

Both ship AI and neither points it at the same job, which is a cleaner way to see the split than any feature row.

Kolleno includes three tiers in every subscription. Insights scores payment likelihood, flags at-risk accounts and keeps credit scores live. Copilot proposes next-best actions and drafts email, SMS and call scripts. Agent runs policy-based collections and reconciliation on its own, with self-adjusting limits. The centre of gravity is the decision: who to chase, and what the incoming cash means.

Paidnice’s AI Credit Controller is in beta as at August 2026 and points at the queue rather than the decision: it follows up overdue invoices, reads inbound replies, drafts responses and escalates, with a person approving before anything sends.

Kolleno also carries continuously updated credit scores with bureau integrations and auto-adjusting limits. Paidnice has no credit checking at all, which is a real gap if the risk you are managing is extending terms rather than collecting on them.
