# NetSuite vs QuickBooks for accounts receivable in 2026

Two accounting platforms compared by a publisher with no link to either, on the work between a sent invoice and cash in the bank.

**In NetSuite vs QuickBooks for accounts receivable, choose QuickBooks Online if you run one company, a few users and email reminders cover your collections. Choose NetSuite if you run several entities or currencies, need credit holds, a customer portal and rule-based dunning letters, and can fund an implementation. QuickBooks Online publishes its prices; NetSuite quotes only.**

**In short**

- **Reminders:** QuickBooks Online sends up to three automatic email reminders per invoice. NetSuite sends dunning letters of up to 15 levels through a separate, paid SuiteApp.
- **Late fees:** QuickBooks Online can add late fees to overdue invoices automatically in the United States. NetSuite assesses finance charges from a manual page, once per customer per day.
- **Entities and currencies:** NetSuite OneWorld runs subsidiaries with their own base currencies in one account. Intuit prices QuickBooks Online per company file.
- **Cost:** QuickBooks Online lists $38 to $340 a month. NetSuite publishes no price.

You are comparing two ledgers, and the sales decks say little about chasing late invoices. QuickBooks Online sends reminders from a settings screen. Oracle sells NetSuite's dunning tool as a separate SuiteApp, and its help pages list limits that matter before you sign. This page compares only the receivables side, from each vendor's own help pages.

## Which one fits your business?

QuickBooks Online fits a single company with simple receivables; NetSuite fits a group with subsidiaries, currencies and credit rules.

- **Choose QuickBooks Online if** you invoice from one company, up to 25 users need access, and scheduled email reminders plus optional automatic late fees cover your collections process.
- **Choose NetSuite if** you invoice from several subsidiaries or base currencies, need credit holds on new orders, want customers to view and pay invoices in a portal, and can budget for the license, modules and implementation.

## How do NetSuite and QuickBooks compare side by side on receivables?

NetSuite has more receivables controls, and QuickBooks Online automates more of the basics out of the box, including reminders and late fees.

| Capability | QuickBooks Online | NetSuite |
|---|---|---|
| Best for | One company with simple receivables | Groups with subsidiaries, currencies and credit rules |

| Capterra rating | 4.4 from 1,038 reviews (Advanced) | 4.2 from 2,004 reviews |

QuickBooks Online facts come from Intuit's NetSuite vs QuickBooks compare page and Intuit's QuickBooks Online help articles. NetSuite facts come from Oracle's NetSuite help center. "None found" means the vendor's own pages do not document the capability. ## Which one chases late invoices better?

NetSuite sends rule-based dunning letters of up to 15 levels through a paid SuiteApp, and QuickBooks Online sends up to three email reminders on every invoice it has emailed.

**QuickBooks Online.** Each reminder goes up to 90 days before or after the due date, and you can add a second and third reminder. QuickBooks only reminds on unpaid invoices you have already emailed, and Intuit's article describes email only. QuickBooks Online Advanced adds workflows that can also send reminders.

**NetSuite.** Collections letters come from the Dunning Letters SuiteApp. You buy it through your account manager, and Oracle publishes no list price. A procedure holds up to 15 levels, and a level can fire before the due date, because Days Overdue accepts -1 to -99.

Limits on each side:

- **QuickBooks Online:** the reminder rules apply to the whole account, and Intuit's article describes no per-customer setting.
- **NetSuite:** the email queue and the PDF print queue each send 100 letters per run, PDFs cannot be generated automatically, and the SuiteApp "cannot detect bounced email messages," per Oracle.
- **NetSuite:** the SuiteApp needs the Multiple Currencies, Multi-Language, Advanced PDF/HTML Templates and SuiteFlow features turned on, even for a single-currency company.
- **NetSuite:** at customer level, the oldest overdue invoice sets the level, and no new letter goes out until the level changes.

## Can either charge late fees automatically?

QuickBooks Online can add late fees to overdue invoices automatically, while NetSuite assesses finance charges from a manual page.

**QuickBooks Online.** You set the fee amount, and QuickBooks adds it to overdue invoices as a line item overnight, for up to six months. QuickBooks does not email the updated invoice, and fees may not post to invoices in a closed period. Intuit warns that your jurisdiction may limit the amount and type of fee.

**NetSuite.** Preferences set an annual rate, a grace period and a minimum charge. A user then runs Assess Finance Charges, picks the customers and creates finance charge invoices. Oracle's page shows no schedule, and a customer can be assessed only once per day. Finance charge transactions always use the "Non-Taxable" tax code.

For rules on what you may charge, see [how much you can charge in late fees](/resources/how-much-can-i-charge-late-fees/).

## How do customers pay each one?

QuickBooks Online puts a pay option on the invoice through a separate QuickBooks Payments account, and NetSuite uses Payment Link, NetSuite Pay or a third-party gateway.

**QuickBooks Online.** Intuit's compare page lists card and bank transfer acceptance on the invoice on all four plans. Pay-enabled invoices need a separate QuickBooks Payments account, which is subject to eligibility, credit and application approval.

**NetSuite.** Payment Link emails an invoice with a link to a hosted checkout page for credit cards and PayPal. NetSuite Pay, processed by Versapay, adds card and ACH in the United States and Canada. The Customer Center lets customers view invoices and payments, and pay through NetSuite Pay.

## How do they handle several entities and currencies?

NetSuite OneWorld keeps subsidiaries with their own base currencies in one account, while Intuit prices each QuickBooks Online plan per company file.

**QuickBooks Online.** Essentials, Plus and Advanced record transactions in other currencies. Intuit's compare page describes no multi-entity consolidation for QuickBooks Online, so each entity is a separate subscription.

**NetSuite.** Each subsidiary has its own base currency. With the Multi-Subsidiary Customer feature, a customer-level dunning email can attach one statement per subsidiary, each showing that subsidiary's amount due. Third-party reports say Consolidated Payments and Multi-Subsidiary Customers conflict, so check both before you design parent and child billing. See [NetSuite OneWorld pricing](/resources/netsuite-oneworld-pricing/) for what each subsidiary costs.

## How do the statements compare?

Both send statements in a batch, and neither vendor's help page describes a statement schedule.

- **QuickBooks Online:** pick customers on the customer list, choose Balance Forward, Open Item or Transaction Statement, and send by email. Customers with no activity in the date range get no statement.
- **NetSuite:** Generate Statements prints, emails or faxes statements in bulk. Oracle names a scheduled script or a scheduled workflow as the routes to automate it, and both are custom builds. Customer-level dunning letters can attach a statement.

## How much do NetSuite and QuickBooks cost?

QuickBooks Online lists $38, $85, $140 and $340 a month, and NetSuite publishes no price.

| Plan | Intro price, first 3 months | List price a month | Users included |
|---|---|---|---|
| QuickBooks Online Simple Start | $19 | $38 | 1 |
| QuickBooks Online Essentials | $42.50 | $85 | 3 |
| QuickBooks Online Plus | $70 | $140 | 5 |
| QuickBooks Online Advanced | $170 | $340 | 25 |

Prices from Intuit's NetSuite vs QuickBooks compare page, per company file, for new subscriptions. The 50% discount covers the first three months, then the plan returns to the list price.

Oracle publishes no NetSuite price list. Third-party estimates last reported a base license of $999 a month (fuzen.io) to $2,499 (Redress Compliance), $99 to $129 per full user a month, and implementation of $25,000 to $80,000 for small and mid-size companies (fuzen.io). The sources conflict, and dunning is priced separately. See [NetSuite implementation cost](/resources/netsuite-implementation-cost/) and [ERP pricing compared](/resources/erp-pricing-compared/).

## How do the reports compare?

QuickBooks Online names accounts receivable reports from Essentials up, and NetSuite adds aging reports, KPI dashboards and its own DSO measure.

- **QuickBooks Online:** Intuit's compare page lists "sales, accounts receivable, and accounts payable reports" on Essentials. Simple Start lists general reports only.
- **NetSuite:** A/R Aging Summary and Detail list unpaid invoices by days past due. The A/R Clerk role gets a Billing Overview with receivables KPIs, and the Dunning dashboard adds Average Time to Pay.
- **NetSuite DSO:** Oracle's Benchmark 360 defines monthly DSO as the average days open of invoices fully paid in the month. That differs from the common balance-based formula, so compare like with like.

## What about QuickBooks Enterprise?

QuickBooks Enterprise is Intuit's desktop product, separate from QuickBooks Online, and this page does not compare it.

Every QuickBooks fact above comes from QuickBooks Online pages. Intuit keeps separate help articles for QuickBooks Desktop, so check Enterprise there before you compare it with NetSuite.

## Which teams outgrow which?

A team outgrows NetSuite's native dunning when 100-letter runs, manual PDF printing and no reply handling cost more staff time than an add-on would.

On the QuickBooks Online side, the limits found in Intuit's help pages are account-wide reminder rules, email as the only reminder channel, and late fees that stop after six months. On the NetSuite side, letters do not read customer replies, a dispute needs a manual dunning pause, and statements and finance charges run from manual pages.

Add-on accounts receivable tools exist for both ledgers. See [the best accounts receivable software](/reviews/best-accounts-receivable-software/) and [accounts receivable software for QuickBooks](/reviews/best-accounts-receivable-software-quickbooks/).

## Which ledger fits your use case?

| Use case | Start with | Watch out |
|---|---|---|
| One company, email reminders only | QuickBooks Online | Reminder rules apply to every customer |
| Group with subsidiaries | NetSuite | Dunning is a separate, paid SuiteApp |
| Customers pay by card on the invoice | QuickBooks Online | Needs an approved QuickBooks Payments account |
| Late fees charged automatically | QuickBooks Online | Fees stop after six months and the invoice is not re-sent |
| Credit holds on new orders | NetSuite | Item fulfillments are not blocked, only warned |
| Customers in several currencies | NetSuite | The dunning SuiteApp needs Multiple Currencies turned on |

## Common questions

### Is NetSuite or QuickBooks better for accounts receivable?

Neither is better for every business. QuickBooks Online fits one company that wants scheduled email reminders and automatic late fees at a published price. NetSuite fits a group with subsidiaries, currencies and credit holds, which can fund a quoted license, the dunning SuiteApp and an implementation.

### Does NetSuite have automated dunning and payment reminders?

Yes, through the Dunning Letters SuiteApp, which Oracle sells separately through your account manager. It supports up to 15 levels per procedure, a template per level, reminders before the due date, and automatic or manual sending. Each email run and each PDF print run handles 100 letters.

### Does QuickBooks send overdue reminders automatically?

Yes. QuickBooks Online sends automatic email reminders up to 90 days before or after the due date, with up to three reminders per invoice. It reminds only on unpaid invoices you have already emailed. QuickBooks Online Advanced can also send reminders through workflows.

### Can NetSuite integrate with QuickBooks?

Yes, through middleware. Celigo publishes a QuickBooks NetSuite Quickstart integration template on its integrator.io platform that syncs customers, items, invoices and journals, and its documentation describes using it to migrate from QuickBooks Online to NetSuite. It needs a NetSuite bundle and an integrator.io account.

### How much does NetSuite cost compared with QuickBooks?

QuickBooks Online lists $38 to $340 a month, with 50% off the first three months. NetSuite publishes no price; third-party estimates last reported a base license of about $999 to $2,499 a month, plus $99 to $129 per full user a month and an implementation fee.

### What are the downsides of using NetSuite for receivables?

The dunning tool is a separate purchase with no public price. It sends 100 letters per run, cannot generate PDFs automatically or detect bounced emails, and has no reply or dispute handling. Finance charges and statements run from manual pages, and over-limit customers still get item fulfillments with a warning.

### Is Intuit the same as QuickBooks?

No. Intuit is the company, and QuickBooks is its accounting software. QuickBooks Online is the cloud product compared on this page; QuickBooks Enterprise is Intuit's separate desktop product.
