Business Central license types: Essentials vs Premium, Team Members and Device

What each Dynamics 365 Business Central license includes, what it costs in six currencies, and which free licenses most buyers miss.

Business Central has two full-user licenses, Essentials at $80 per user a month and Premium at $110 per user a month, plus Team Members at $8 per user a month for light users, at Microsoft’s list price on an annual commitment. Essentials suits finance, sales and distribution; Premium adds manufacturing and service order management.

In short

  • Essentials or Premium: pick Premium only if you need production orders or service orders. Every full user in one environment must be on the same tier.
  • Team Members: for staff who read, approve and make limited updates. Each Essentials or Premium license also includes Team Members rights.
  • Free licenses: up to three External Accountant licenses per tenant, partner admin users, and Microsoft 365 users who read Business Central data in Teams.
  • Billing term: list prices assume an annual commitment. UK partner lists show about 5% more for annual billed monthly and 20% more for month to month.

What license types does Business Central have?

Business Central has four paid license types: Essentials, Premium, Team Members and Device. Microsoft’s Dynamics 365 Licensing Guide sets out what each one allows. There is no minimum number of users for Essentials, Premium or Team Members.

LicenseWho it is forUS priceDatabase storage it adds
EssentialsFull users in finance, sales, purchasing, inventory, projects and warehouse$80 per user a month3 GB per user
PremiumEverything in Essentials, plus manufacturing and service order management$110 per user a month5 GB per user
Team MembersStaff who read data, approve workflows and update a limited set of records$8 per user a monthNone
DeviceA shared device such as a warehouse scanner or shop terminal, used by many people in turn$45 per device a month1.5 GB per device

Every tenant also gets 80 GB of shared database storage, one production environment and three sandbox environments, per the Licensing Guide.

What is the difference between Essentials and Premium?

Premium is Essentials plus two areas: manufacturing and service order management. Premium costs $110 per user a month against $80 per user a month for Essentials, a $30 difference per user a month. If you do not make products or run field service, Essentials covers the same finance, sales, purchasing and inventory work.

Projects and warehouseYesYes
Manufacturing: production orders, production BOMs, machine centers, finite loading, capacity and supply planningNoYes
Service order management: service contracts, service items, planning and dispatchingNoYes

The tier rule: Essentials and Premium cannot be mixed inside one environment. The October 2026 Licensing Guide allows Essentials and Premium in separate environments on the same tenant, but each user can only reach the environment their license covers.

Does monthly billing cost more?

Yes. Business Central is sold through Microsoft’s Cloud Solution Provider program, and the list price assumes you commit for a year. A UK government price list from one Microsoft partner shows the three options side by side: annual commitment paid in full, the same commitment paid monthly (about 5% more), and month to month (about 20% more).

What costs extra beyond the licenses?

Licenses are the main cost, but three add-ons appear on most bills as a business grows: extra production environments, extra database storage, and Copilot Credits for agents. Copilot features inside Business Central are included; agents such as the Payables Agent and Sales Order Agent use paid credits.

What does Business Central include for collections?

Every Essentials and Premium license includes reminders with unlimited levels, scheduled reminder runs, finance charge memos, customer statements and credit limits. It does not include reminders before the due date, SMS, a customer payment portal, or dispute and promise-to-pay tracking.
