Moving from Xero or QuickBooks to NetSuite: what happens to accounts receivable

Open invoices move to NetSuite in the data migration. Reminders, payment links, statements and the customer portal are set up again in NetSuite, and each one has its own setup work.

When you move from Xero or QuickBooks to NetSuite, open invoices and customer balances are migrated, and closed payment history usually stays in the old file. Reminders, payment links, statements and the customer portal are set up again in NetSuite. Automated reminders need the Dunning Letters SuiteApp, a separate paid purchase.

In short

  • Data: partner guides advise migrating open balances only and keeping the old ledger read-only for 12 to 24 months.
  • Reminders: NetSuite dunning rules are built in the NetSuite interface only, with no CSV or script import, and each queue run sends at most 100 letters.
  • Payments: the Pay now link is replaced by NetSuite Payment Link, NetSuite Pay (US and Canada only) or a gateway such as Stripe.
  • Tools: some AR tools run on Xero, QuickBooks and NetSuite, so a team can keep one collections tool through the move.

What happens to accounts receivable when you move to NetSuite?

When you move to NetSuite, open invoices and customer balances are migrated, and reminders, payment links, statements and the customer portal are set up in NetSuite.

Partner migration guides cover the ledger data in detail. They say little about how customers are chased and how they pay after go-live. The table lists each part of accounts receivable and the work it needs.

Which receivables data do you migrate to NetSuite?

Most teams migrate open receivables, customers and open credits to NetSuite, and leave closed invoices and payments in the old ledger.

Implementation partners such as GSI and Anchor Group advise migrating open balances only (AR, AP, inventory and open orders). Closed transactions stay in QuickBooks, which the team keeps read-only for 12 to 24 months. Partner guides list bank reconciliations, payroll detail, custom forms and fixed assets as data that does not convert cleanly. These guides describe the QuickBooks case, and a team leaving Xero makes the same choice.

Two checks protect the opening numbers:

  • Do not count AR twice. If you import open invoices that post to accounts receivable, the opening trial balance journal must not post the same AR balance again. Most teams post the AR line to a clearing account that nets to zero after the invoice import.
  • Test payments on day one. GSI advises testing payment integrations such as Stripe on the first day after cutover.

A customer’s payment pattern is in the old file, not in NetSuite. Collectors who check how a customer paid last year still need the old ledger login.

What happens to your invoice reminders in NetSuite?

In NetSuite, automated reminders come from the Dunning Letters SuiteApp, a separate purchase through your NetSuite account manager with no published price.

Oracle documents these limits and requirements for the SuiteApp:

  • Prerequisites: Multiple Currencies, Multi-Language, Advanced PDF/HTML Templates, SuiteFlow, Custom Records, client and server SuiteScript, and the License Client SuiteApp. This applies to single-currency companies too.
  • Levels: up to 15 levels per procedure. Days overdue count from the due date only. Values from -1 to -99 send a reminder before the due date.
  • Run limits: the email queue and the PDF queue each take 100 letters at a time. PDF letters are not generated automatically.
  • Setup: procedures and rules are created in the NetSuite interface only. They cannot be imported by CSV, SOAP or SuiteScript.
  • Bounces: Oracle states the SuiteApp "cannot detect bounced email messages."
  • Pauses: a dispute does not pause dunning. A user ticks Pause Dunning and picks a reason.

Finance teams using NetSuite dunning report reminders that showed one invoice or a wrong amount, not the full balance owed. They also report reminders sent without a statement. Oracle recommends customer-level procedures, which list every overdue invoice in one letter and can attach a statement. Invoice-level procedures send one letter per invoice and cannot attach statements.

Before cutover, write down each reminder step you use today: days before or after due date, template text, who is copied and when you pause. That list is the build sheet for your NetSuite dunning levels.

What replaces the Pay now button after the move?

Customers pay NetSuite invoices through Payment Link, NetSuite Pay or a gateway such as Stripe, and each route needs setup before the first invoice goes out.

  • Payment Link: a hosted checkout page linked from the invoice email. Oracle lists five things to set up first: the Payment Instruments feature, a Payment Method record, a payment processing profile for each card gateway, DKIM for your email domain and Advanced PDF/HTML invoice templates. Partial payment is one on or off setting.
  • NetSuite Pay: card and ACH processing underwritten by Versapay, for the United States and Canada only. Versapay’s NetSuite Pay pricing page lists 2.9% plus 30 cents per card payment, 0.35% plus 30 cents per ACH payment (capped at $8) and a $200 monthly fee.
  • Stripe: Stripe’s free NetSuite invoice payment link collects payments through Stripe Checkout. Writing payments, payouts and fees back to NetSuite needs Stripe’s paid full connector.

A public r/Netsuite thread on payment processors shows a common worry: whether the card processor a team used with its old ledger still works after the move. List every payment method customers use today (cards, ACH, direct debit, bank transfer) and confirm the NetSuite route for each one before cutover.

Do statements and the customer portal move to NetSuite?

Statements become a NetSuite bulk run that a user starts, and the customer portal becomes Customer Center, which each customer must be given access to.

Statements. Users send statements from Generate Statements, one page of customers at a time. Oracle documents no schedule for this run. A scheduled send needs a workflow or a script. A consolidated parent and child statement needs the Consolidated Payments feature. With Multi-Subsidiary Customer on, the dunning email attaches one statement per subsidiary, each with its own amount due.

During a parallel run, pick one system to send statements. If both ledgers send, customers can get two statements with different balances.

Customer Center. Turn on the Customer Access feature, then grant access on each customer record or in bulk by CSV import. Customer passwords are separate from employee logins, and a password reset link expires after 60 minutes. Card and ACH payments in Customer Center run through NetSuite Pay.

Finance teams report that pulling a full invoice history for a legal request took about 30 tabs in NetSuite, where it was one link before the move.

Can you still charge late fees and set credit limits in NetSuite?

Yes. NetSuite charges late fees through a manual Assess Finance Charges run and enforces credit limits through a hold setting on each customer.

Late fees. Finance charge preferences set an annual rate, a grace period, a minimum charge and whether to charge on earlier unpaid charges. The charge can count from the due date or the transaction date. Oracle documents no schedule for the assessment, and a customer can be assessed once a day at most. Finance charge invoices always use the Non-Taxable tax code.

Finance teams report contracts that allow late interest which nobody charges, because raising and chasing the extra invoice is manual work.

Credit limits. Each customer has a credit limit and a Hold setting: Auto, On or Off. An account preference chooses Ignore, Warn Only or Enforce Holds. Two gaps to know:

  • The credit limit does not include subcustomers, so a parent can reach its limit while its subcustomers keep buying.
  • Item fulfillments are not blocked for a customer over the limit. NetSuite shows a warning only.

How long does the move take, and what does it cost?

Implementation partners put a QuickBooks to NetSuite move at 3 to 6 months and $30,000 to $150,000 or more in implementation fees. Oracle publishes neither figure.

These are the last reported partner estimates, not quotes. Partner guides also describe parallel runs of 1 to 6 months, when the old ledger and NetSuite both run. Our NetSuite implementation cost guide breaks the fee down by company size and project phase.

The license is a separate, yearly cost. See NetSuite pricing, NetSuite editions and modules and, for groups with several companies, NetSuite OneWorld pricing. To compare NetSuite with other ERPs, use ERP pricing compared.

Setting up dunning, payments or an AR tool is separate work from the ledger migration. Oracle states no typical time for it, so ask your partner to put it in the project plan.

Do you need an AR tool after moving to NetSuite?

Native NetSuite collections can be enough for one entity with a short chase list; teams that need statements with every reminder, reply handling or several entities often add an AR tool.

Native NetSuite may be enough ifAn AR tool may fit better if
You run one entityYou run several entities or subsidiaries
Each run sends fewer than 100 lettersYou want a statement with every reminder
Manual PDF letters and finance charge runs suit the teamYou want replies, disputes and promises to pay tracked
Customers rarely ask for invoice copiesCustomers want a portal with full invoice history

Finance teams that moved from Xero to NetSuite for group reporting report that customer-facing AR got harder after the move. Two approaches are possible. Some teams set up the AR tool before go-live, so customers see one change. Others run native dunning for 60 to 90 days and then add a tool where gaps show.

Which AR tools run on Xero, QuickBooks and NetSuite?

Several AR tools connect to Xero, QuickBooks Online and NetSuite, so a team can keep one AR tool through the move.

  • Paidnice: connects to Xero and QuickBooks Online on its published plans. It connects to NetSuite (two-way sync, custom fields, OneWorld supported) through a custom implementation on its Custom plan, set up by an implementation specialist. Custom from $999 a month (£749 in the UK), quoted for your setup. It can replace the Dunning Letters SuiteApp.
  • Chaser: lists Xero, QuickBooks Online and NetSuite integrations, plus Sage and Dynamics 365 Business Central.
  • Kolleno: connects Xero and QuickBooks on its BusinessPay and Business Plus tiers. NetSuite is on its Enterprise tiers.
  • Upflow: connects Xero and QuickBooks Online from its Starter tier and NetSuite from its Grow tier. Upflow’s last published prices were $440 a month for Grow and $880 for Scale; it now quotes by gross invoice value.

A move to NetSuite can move you to a different plan or tier with the same vendor. Ask each vendor in writing what carries across when you change ledger, such as templates, contact rules and chase history. For ledger-specific shortlists, see AR software for Xero and AR software for QuickBooks.

Accountant’s note. Agree the cutover date with your auditor or external accountant before you post the opening balances. Reconcile the AR aging in NetSuite to the old ledger’s aging at that date, customer by customer, and keep the reconciliation with the year-end file. During a parallel run, post new invoices in one system only.

Common questions

Do my open invoices move from QuickBooks to NetSuite?

Yes. Open invoices, customers and open credits are among the items migrated to NetSuite. Closed invoices and payments usually stay in QuickBooks, which partner guides advise keeping read-only for 12 to 24 months.

Will my payment reminders carry over to NetSuite?

NetSuite does not import reminder rules. Dunning procedures and level rules are created in the NetSuite interface only, with no CSV, SOAP or SuiteScript import. Plan to rebuild your schedule and templates in the Dunning Letters SuiteApp or in an AR tool that connects to NetSuite.

How long does moving from QuickBooks to NetSuite take?

Implementation partners estimate 3 to 6 months for a QuickBooks to NetSuite move, plus a parallel run of 1 to 6 months in some projects. Oracle does not publish a typical time.

How much does it cost to move from QuickBooks to NetSuite?

Partner estimates put implementation at $30,000 to $150,000 or more. These are last reported estimates, not quotes. The NetSuite license, the Dunning Letters SuiteApp and any AR tool are separate costs.

Can I run QuickBooks and NetSuite side by side?

Yes. Partner guides describe parallel runs of 1 to 6 months. During the run, send reminders and statements from one system only, so customers do not get two messages with different balances.

Is moving from Xero to NetSuite different for UK credit control?

The steps are the same, but NetSuite Pay is available in the United States and Canada only. UK teams that chase debtors from NetSuite take card payments through Payment Link with a card gateway, or through a gateway such as Stripe.

What are people replacing QuickBooks with?

Companies that outgrow QuickBooks usually shortlist an ERP such as NetSuite, Sage Intacct, Microsoft Dynamics 365 Business Central or Acumatica. Smaller businesses also move to Xero. ERP pricing compared lists the costs side by side.
