How to automate credit control: eight steps, and what still needs a person

The steps in order, what Xero and QuickBooks Online automate on their own, what each credit control tool adds, and the decisions to keep for a person.

To automate credit control, write down your credit policy, connect your ledger, group your customers, then set reminders, statements, any late fees and payment links to run on their own. Keep disputes, payment plan terms and the decision to escalate for a person. Xero and QuickBooks Online send basic reminders; a credit control tool adds the rest.

Every Friday afternoon you open the aged receivables report, scroll to the red column and start writing the same emails again. Automating that work does not mean handing your customers to a machine. Here is the order to set it up in, what your ledger already does, and the few decisions that stay with you.

How do you automate credit control?

Automating credit control takes eight steps in a fixed order, because each step depends on the one before: the policy sets the rules, the ledger supplies the data, and the groups decide who gets which rules.

  1. Write the policy. Payment terms, when reminders go, what you charge for late payment and when a debt escalates. The credit control policy template gives a starting draft.
  2. Connect the ledger. Link the tool to Xero, QuickBooks Online or your ERP, so paid invoices stop being chased the moment payment lands.
  3. Group your customers. Separate key accounts, slow payers and new customers, so each group gets its own tone and timing.
  4. Set the reminder sequence. One reminder before the due date, one on the day, then a few after, by email and, where it suits, SMS.
  5. Schedule statements. A statement of every open invoice on a fixed day catches customers who pay in batches.
  6. Add charges your terms allow. A late fee or interest, posted to the ledger, where your contract or local law permits one.
  7. Make paying easy. A payment link in every reminder, and a payment plan option for customers who cannot pay in one go.
  8. Set the escalation point. After a set number of days, the sequence stops and a person picks up the case.

What parts of credit control can be automated, and what still needs a person?

Credit control automation handles the repeated, rule-based work: sending, scheduling, charging and recording. A person still handles anything that needs judgement about a customer.

Are Xero's built-in invoice reminders enough to automate credit control?

Xero's built-in invoice reminders are enough for a small business with a handful of late payers and one set of payment terms, but they cover reminders only, with one set of rules for the whole organisation.

Xero Central describes what the built-in feature does:

  • Up to five email reminders, before or after the due date; Xero sets up three by default.
  • Reminders go only to invoices marked as sent, and to contacts with an email address.
  • Options such as a PDF link or a minimum amount apply to all reminders at once.
  • Customer replies go to the login email of the person who turned reminders on.

Xero's reminders do not schedule statements, add late fees or interest, or run a different sequence per customer group. The credit control software guide for Xero covers the tools that add those steps.

How do you automate credit control in QuickBooks Online?

QuickBooks Online automates credit control with invoice reminders and, in some regions, automatic late fees, both switched on in your QuickBooks settings.

  • Reminders: Intuit lets you add second and third reminders, up to 90 days before or after the due date, with an optional PDF copy. A reminder sends only if the invoice is still unpaid.
  • Late fees: QuickBooks' automatic late fee adds the fee as a line on the invoice, from the day after you turn it on. It does not charge past invoices and does not email the customer.
  • Workflows: QuickBooks Online Advanced can build reminders as workflows.

Statements on a schedule, a sequence per customer group and escalation need a credit control tool. The accounts receivable software for QuickBooks Online shortlist compares them.

Which credit control tools automate which steps?

Credit control tools differ most on three steps: whether they post late fees to the ledger, whether reminders can differ by customer group, and how they handle customer replies.

How long does it take to set up automated credit control software?

Automated credit control software takes from under an hour to several weeks to set up, depending on whether the tool connects to a cloud ledger directly or has to be fitted to an ERP.

Paidnice states setup takes under 15 minutes: connect the ledger, review the draft policies it prepares, and approve them; nothing runs until you do. Upflow states same-day go-live. Chaser, CreditorWatch Collect, ezyCollect and Satago publish no setup time. Writing the policy in step 1 usually takes longer than the software setup itself.

How do you automate chasing without upsetting customers?

Automated chasing upsets customers when it is wrong, not when it is automated, so the safeguards are accurate data, the right tone per group and a pause whenever a person is already talking to the customer.

  • Send the first reminder before the due date, as a courtesy, not after it.
  • Stop chasing paid invoices at once, which needs a live ledger connection.
  • Pause the sequence while a query is open or a payment is promised.
  • Give key accounts a softer tone and longer gaps than slow payers.
  • Send from your own domain or mailbox, so replies reach your team.

What do businesses ask before automating credit control?

Can I automate credit control in Xero without an app?

Yes, for reminders only. Xero can send up to five email reminders before or after the due date, with one set of rules for every customer. Statements on a schedule, late fees and a sequence per customer group need a credit control app from the Xero App Store.

Does automated credit control replace a credit controller?

No. Automated credit control takes over the sending, scheduling and recording, so a credit controller spends the time on disputes, payment plans and calls instead. Small businesses without a credit controller use it so that chasing happens at all.

Will automated reminders chase invoices that are already paid?

Not if the tool syncs with your ledger. Xero sends reminders only for unpaid invoices marked as sent, QuickBooks Online sends only while an invoice is unpaid, and credit control tools stop the sequence once the payment is recorded.

Can automated credit control add late fees?

Some tools can. Paidnice posts late fees and interest to Xero or QuickBooks Online per customer group, Chaser applies one set of late-fee rules, and Satago adds an optional fee to reminder emails. QuickBooks Online also has its own automatic late fee.

What should I automate first?

Start with reminders before and after the due date, because they cover the most invoices for the least effort. Add statements next, then charges your terms allow, then escalation once you have seen a few cycles run.

Which tool should I use to automate credit control?

Choose by ledger and by the steps you need beyond reminders. The best credit control software guide compares six tools on price, late fees, statements and limits.
