8 best accounts receivable collections software in 2026

Eight tools that chase and collect the invoices you have issued, sorted by ledger and revenue band. Prices in US dollars wherever the vendor publishes them.

The best accounts receivable collections software in 2026 connects to your ledger and chases unpaid invoices; the fit depends on your ledger and revenue band. Xero and QuickBooks Online businesses up to $50m a year pick Paidnice, BILL or Chaser. NetSuite, Sage Intacct and SAP teams above $50m pick Versapay, Quadient AR or HighRadius. Kolleno and Gaviti span both groups.

  • BILL: best for a US business that already pays suppliers through BILL and needs invoicing, ACH and card collection with automated reminders, from $49 per user a month.
  • Paidnice: best for Xero or QuickBooks Online businesses that want reminders, late fees and interest, payment plans and AI-drafted replies, from $69 a month, priced by invoice volume, not revenue.
  • Chaser: best for a UK-led or Xero finance team that wants revenue-tiered plans with letters, calls and Creditsafe credit checks, from $259 a month (£199 in the UK).
  • Kolleno: best for a team above $1m turnover whose bottleneck is cash application, from $650 per user a month.

Looking for the wider category? Best accounts receivable software. For the recovery side: debt collection software for small business.

Your customers pay later than the invoice says. The average US small business waited 29.3 days to be paid in the June quarter, and late payments averaged 8.5 days, on Xero Small Business Insights data. Your spreadsheet shows who is late after the fact, and the chasing falls to whoever has time.

Here is what each of the eight tools automates, what it costs in US dollars, and which one fits your ledger and your revenue band.

Best Accounts Receivable Collections Software Compared (2:15)

What is accounts receivable collections software?

Accounts receivable collections software is a tool that connects to your ledger and automates the work between issuing an invoice and receiving the cash: reminders, payment, cash matching and reporting.

  • Tracks every unpaid invoice from Xero, QuickBooks Online, NetSuite or Sage Intacct, in aging buckets of 30, 60 and 90 days overdue.
  • Sends dunning reminders on a schedule before and after the due date, by email, SMS, letter or call, and stops the sequence when the invoice is paid.
  • Gives the customer a payment portal to view invoices, pay by card, ACH or direct debit, raise a dispute or record a promise to pay.
  • Matches incoming cash to the open invoice, from portal payments or from bank and remittance files.
  • Reports DSO, collection effectiveness and aging on a live dashboard, and builds a collector worklist of the accounts to chase today.
  • Applies the consequence in some tools: a late fee or interest charge posted to the customer's ledger as a real invoice.

The same category is sold as AR collections software, AR automation software, dunning software and credit control software: collecting what you have already invoiced, from your own customers, on your own ledger.

What should accounts receivable collections software do?

Accounts receivable collections software should cover five jobs: automated dunning, a self-service payment portal, cash application, DSO and aging dashboards, and a two-way ledger integration.

Every job runs on a two-way sync with Xero, QuickBooks Online, NetSuite, Sage Intacct, Business Central or SAP, so a payment posted in the ledger stops the reminder the same day. Some tools also push activity to a CRM such as Salesforce.

Late fees and interest are where the eight tools split. Only Paidnice and Chaser raise the charge themselves: Paidnice posts an invoice late fee and statement interest to the ledger per customer group, Chaser applies late payment fees. The other six document no fee function.

Which accounts receivable collections software fits your revenue band?

Accounts receivable collections software fits by annual revenue first, because Chaser and Kolleno publish size gates in turnover. Paidnice states its fit as any size up to $50m a year, or 50,000 invoices a year. The other five publish no size gate, so their band rests on their ledgers and named customers. Find your band, then check your ledger.

Over $500mHighRadius, Kolleno (Enterprise), Quadient AR, VersapayHighRadius: no published gate. Kolleno Enterprise: floor $100m, no ceiling. Quadient AR, Versapay: no published gate or ceiling.

A tool appears in every band its published gate covers. Tools with no published gate are placed in the bands their stated fit, ledgers and named customers point to. "No published size gate": the vendor prints no revenue or invoice floor.

Placement detail. Paidnice states its fit as any size up to $50m a year, or 50,000 invoices a year, from the first invoice. Chaser caps: Compact £4m ($5m), Core £10m ($13m), Complete £100m ($120m). Kolleno floors: BusinessPay $1m, Business Plus $10m, Enterprise $100m, with no ceilings.

BILL is placed by its per-user price and its QuickBooks and Xero sync. Gaviti states a medium to large enterprise market while close to half its reviewers are small businesses. Quadient AR's reviewers mostly work at companies of 51 to 1,000 employees. Versapay sells to mid-market B2B. HighRadius sells to large enterprises.

If you count invoices rather than revenue, Paidnice prices by monthly invoice volume: 150 on Essentials and 300 to 4,000 on Pro. The other seven publish no invoice tier, so revenue is the only published axis.

Which accounts receivable collections software fits your accounting system?

Your accounting system rules out every accounts receivable collections tool without a connector for it, and the list below shows which tools remain.

  • Xero: Paidnice (native), BILL (two-way sync from Team; Essentials is CSV only), Chaser, Gaviti, Kolleno, Quadient AR.
  • QuickBooks Online: Paidnice (native, with Stripe pay links), BILL, Chaser, Gaviti, Kolleno, Quadient AR (edition not named), HighRadius (named on one product page only).
  • NetSuite: Versapay and Quadient AR (native connector), BILL (Enterprise plan), Chaser, Gaviti, HighRadius, Kolleno (Enterprise), Paidnice (Custom plan).
  • Sage Intacct: BILL (Enterprise plan), Chaser (also Sage 50 UK and Sage 200), Gaviti, Kolleno, Quadient AR, Versapay, Paidnice (Custom plan; cloud Sage only, never Sage 50 or Sage X3).
  • Dynamics 365 Business Central: BILL (Enterprise plan), Chaser, HighRadius, Kolleno (Enterprise), Quadient AR, Versapay (also Dynamics 365 Finance and Supply Chain), Paidnice (Custom plan). BILL, HighRadius and Quadient AR name Microsoft Dynamics without the edition.
  • SAP or Oracle: Chaser (SAP), Gaviti, HighRadius (SAP and Oracle first, 50 or more ERP connectors), Kolleno (Enterprise), Quadient AR (SAP).

How do these accounts receivable collections tools compare?

The comparison table sets the eight accounts receivable collections tools side by side on price, ledgers, channels, late fees, portal, cash application, promise to pay and ratings. Four publish a monthly price, from $49 per user to $650 per user, and four quote only; two apply late fees and interest; five match cash beyond the portal.

BILL

BILL is an accounts payable platform with a bundled receivables module, for US businesses that want invoicing, ACH and card collection with automated reminders, from $49 per user a month.

Who should choose BILL?

Choose BILL if you are a US business that already pays suppliers through BILL and needs simple invoicing, ACH and card collection with reminders.

Fits
US small businesses and their accountants; no published revenue or invoice gate.
Entry cost
$49 per user a month on Essentials, $65 on Team, $89 on Corporate; Enterprise is quoted. Receiving fees on top: ACH $0.59, card 2.9%, instant transfer 1.25% with a $1 minimum, mailed invoice $1.99.
Rated
4.4 from about 1,800 G2 reviews.
Runs on
QuickBooks Online, Pro and Premier, Xero; NetSuite, Sage Intacct and Microsoft Dynamics on the quoted Enterprise plan only. Essentials is CSV import and export only; two-way QuickBooks and Xero sync starts on Team.
Reminder channels
Email or US mail invoices, payment links and a customer portal.
Late fees and interest
None found; the receivables page documents reminders only.
Does best
Keeping payables and receivables in the account a US business already uses for bill pay.

Limitations with BILL. No late fees, statements, payment plans or credit tools appear on the receivables page, and Essentials does not sync two-way with QuickBooks or Xero. Receiving fees sit on top of the per-user price.

Paidnice

Paidnice is accounts receivable automation for Xero and QuickBooks Online businesses of any size up to $50m a year, with reminders, late fees and interest, statements, payment plans and escalation, from $69 a month.

Who should choose Paidnice?

Choose Paidnice if you run Xero or QuickBooks Online and want late fees, reminders, plans and AI replies priced by invoice volume, not revenue.

Fits
Xero or QuickBooks Online, from the first invoice up to $50m a year, or 50,000 invoices a year.
Entry cost
$69 a month on Essentials (150 invoices, 2 users); Pro from $99 for 300 invoices with unlimited users and payment plans; Custom from $999 for ERP connections. No contracts. Free sign-up, no card, first 20 actions free.
Rated
5.0 from 83 Xero App Store reviews; 4.9 on Capterra.
Awards
2026 winner, NZ Small Business App of the Year, Xero Global App Awards.
Runs on
Xero and QuickBooks Online natively, with Stripe pay links. NetSuite, Sage Intacct, MYOB, Business Central and other cloud ERPs on the Custom plan.
Reminder channels
Email (own domain on Pro), SMS, two-way WhatsApp, posted letters (Pro and up), statements and a customer portal.
Late fees and interest
Yes. An invoice late fee and statement interest, flat or percentage, with a grace period, posted to the ledger per customer group. Applied automatically, waived deliberately.
Does best
Posting late fees and interest to the Xero or QuickBooks Online ledger per customer group.

Paidnice runs a reminder policy per customer group. The portal takes card, ACH, BACS and direct debit, a promise to pay, a dispute that pauses the policy, and a Stripe auto-charged payment plan, with payments recorded in the ledger. Paidnice uses AI to read replies and draft the response; a person approves the draft unless the policy is pre-approved.

Limitations with Paidnice. Native to Xero and QuickBooks Online only; other ERPs need the Custom plan. No bank-feed cash application; bureau credit checks on the Custom plan only.

Chaser

Chaser is reminder-led credit control software with email, SMS, letter and automated call chasing and Creditsafe credit checks, from $259 a month (£199 in the UK) for turnover up to $5m (£4m).

Who should choose Chaser?

Choose Chaser if you are a UK-led or Xero finance team that wants revenue-tiered plans with letters, calls, credit checks and a managed service option.

Fits
Published revenue caps: Compact under $5m (£4m) turnover with 4 users, Core under $13m (£10m), Complete under $120m (£100m).
Entry cost
$259 a month on Compact (£199), $779 on Core (£599), $1,169 on Complete (£899). Chaser Care managed-service bundles run $1,199 to $2,799 (£899 to £2,099). A 10-day trial, no card.
Rated
4.98 from 374 Xero App Store reviews; 4.9 from 45 on Capterra; 4.3 from 68 on G2.
Runs on
Xero, QuickBooks Online, Sage 200, Sage 50 UK, Sage Business Cloud Accounting, Sage Intacct, NetSuite, Dynamics 365 Business Central, Odoo, SAP, AccountsIQ, iFinance, Stripe, plus API and CSV.
Reminder channels
Email, SMS, automated letters, automated phone calls and in-app calling. The automated calls are text-to-speech and one-way.
Late fees and interest
Yes. Monthly statements, payment plans, a portal and disputes alongside it.
Does best
Creditsafe credit checking and multi-channel chasing in one tool, with Chaser Care people available to take the chasing over.

The AI email generator reads a debtor's email, detects a promise to pay, a dispute or a document request, and suggests a reply with the invoice details and portal link.

Limitations with Chaser. Compact caps the team at four users. SMS and calls include monthly credits (100 on Compact, 600 on Core, 1,200 on Complete); letters and extra SMS and calls are paid add-ons. The price rises with turnover.

Gaviti

Gaviti is an AI invoice-to-cash platform for mid-sized finance teams on Xero, QuickBooks, NetSuite or Sage Intacct, with AI-written dunning and cash application, on quote-only, usage-based pricing.

Who should choose Gaviti?

Choose Gaviti if you are a mid-sized team on Xero, QuickBooks, NetSuite or Intacct that wants an AI assistant and AI-written dunning with unlimited users.

Fits
No published size gate. Gaviti describes its market as medium to large enterprises, while close to half of its Capterra reviewers are small businesses.
Entry cost
Quote only. Priced by usage, with unlimited users and workflows. No trial; a demo instead.
Rated
4.5 from 170 G2 reviews; 4.5 from 91 on Capterra.
Runs on
Xero, QuickBooks Online and Desktop, NetSuite, Sage Intacct and SAP. Gaviti calls itself ERP agnostic and supports any custom accounting or ERP software.
Reminder channels
Email reminders and a customer portal with zero-fee ACH.
Late fees and interest
None found.
Does best
An AI assistant that answers questions about the receivables book, AI-generated collection emails, and cash application the vendor says completes 90% of matches automatically.

Reminders, escalations, collector task prioritization and disputes with routing sit around the cash application.

Limitations with Gaviti. No published price and no trial, so the cost is unknown until a sales call. No late fee or interest function; SMS and calling are not documented.

HighRadius

HighRadius is an enterprise order-to-cash suite with ML-ranked collections worklists, a 0 to 100 collections score and a voice agent, for large teams on SAP, Oracle, Dynamics or NetSuite, on quote-only pricing.

Who should choose HighRadius?

Choose HighRadius if you are an enterprise collections team on SAP, Oracle, Dynamics or NetSuite that needs ML-ranked worklists and voice agents.

Fits
No published size gate. HighRadius sells to large enterprises and mid-sized organizations.
Entry cost
Quote only. An outcome-based option is published with a $0 implementation fee and a gain-share fee after go-live, with the percentage left blank.
Rated
4.3 from 237 G2 reviews; 4.4 from 13 on Capterra.
Runs on
SAP, Oracle, Microsoft Dynamics, NetSuite and 50 or more ERPs. QuickBooks Online is named on the collections product page.
Reminder channels
Email dunning, call notes with real-time transcription, and a virtual call attendant agent for routine outreach.
Late fees and interest
None found.
Does best
Ranking the collector's day: a 0 to 100 ML collections score, customers stack-ranked automatically, and an end-of-month delinquency forecast.

HighRadius covers the whole order-to-cash cycle: credit management, dunning, promise-to-pay tracking, disputes and cash application, with dunning letters written by large language models and, on the collections product page, 7 automated and 5 assisted AI agents.

Limitations with HighRadius. No published price, and implementation is an enterprise project. Xero is not named anywhere, and QuickBooks Online appears on one product page only. A business under $50m a year pays for a suite built for a collections department.

Kolleno

Kolleno is an AI order-to-cash platform with collections and cash application in one place, for teams above $1m turnover, from $650 per user a month ($545 on annual billing).

Who should choose Kolleno?

Choose Kolleno if you turn over more than $1m, want collections and cash application in one platform, and accept per-user pricing and a longer contract.

Fits
Published turnover floors: BusinessPay from $1m, Business Plus from $10m, Enterprise from $100m.
Entry cost
$650 per user a month on BusinessPay, $545 on annual billing; Business Plus $1,245 per user, $995 annual; Enterprise quoted. Extra charges may apply. The standard term is 24 months where the order form sets none, with 90 days' notice. Business Plus starts at 2 users.
Rated
4.9 from 99 G2 reviews; 5.0 from 18 Xero App Store reviews.
Runs on
Xero, QuickBooks and Sage Intacct on BusinessPay; Clio added on Business Plus; NetSuite, Business Central, SAP and Oracle on Enterprise; custom ERPs on Enterprise Plus.
Reminder channels
Email, SMS and phone from one CRM view, with SMS and call allowances of 100 to 600 by plan.
Late fees and interest
None found.
Does best
Cash application, with workflows, a portal, payment plans, disputes and credit scores around it. Kolleno's Maestro AI routes work to agents inside the credit policy you set, and its AI detects promises to pay in replies.

AI reply drafts and AI timeline summaries are included in the subscription.

Limitations with Kolleno. No late fee or interest mechanic. Per-user pricing from $650 a month multiplies with the team, the 24-month term is long for a small business, and the $1m floor rules out the smallest buyers.

Quadient AR

Quadient AR, formerly YayPay, is accounts receivable automation inside the Quadient suite, with payment prediction, credit decisions and agentic email triage, for NetSuite, Sage and Dynamics teams, on quote-only pricing.

Who should choose Quadient AR?

Choose Quadient AR if you run NetSuite, Sage or Dynamics, want ML payment prediction and credit applications, and can accept quote-only pricing.

Fits
No published size gate. Quadient claims more than 2,100 finance teams, and most reviewers work at companies of 51 to 1,000 employees.
Entry cost
Quote only. The vendor says cost varies with business size, process complexity and the features required.
Rated
4.4 from 155 G2 reviews; 4.5 from 33 on Capterra.
Runs on
NetSuite, SAP, Dynamics, Acumatica, Xero, QuickBooks, Sage Intacct, Sage 300.
Reminder channels
Print and digital communications, inbound AR email handling, self-service and scheduled payments in the portal.
Late fees and interest
None found.
Does best
Predicting payment behavior, prioritizing collections automatically and monitoring risk, with agentic AI that reads incoming AR emails, picks the next step and prepares the action for review.

From its YayPay heritage: dispute tracking, credit decisions, a rules engine and cash application, with an AI assistant for forecasts and an AI cash dashboard.

Limitations with Quadient AR. No published price. Instalment plans and promise to pay are not documented, and there is no late fee function. The Xero and QuickBooks connectors exist, but the product is sized for a mid-market finance team.

Versapay

Versapay is collaborative accounts receivable automation with integrated B2B payments, for mid-market companies on NetSuite, Sage Intacct or Dynamics 365 Business Central, on quote-only pricing.

Who should choose Versapay?

Choose Versapay if you are a mid-market B2B company on NetSuite, Sage Intacct or Business Central and want collections, a portal and B2B payments together.

Fits
No published size gate. Versapay sells to manufacturing, wholesale distribution and professional services and claims more than 10,000 customers.
Entry cost
Quote only. Versapay publishes no price.
Rated
4.1 from 95 G2 reviews; 4.4 from 29 on Capterra.
Runs on
Oracle NetSuite, Sage Intacct, Dynamics 365 Business Central and Dynamics 365 Finance and Supply Chain natively; other ERPs by open API or flat file. Xero and QuickBooks Online are not listed.
Reminder channels
Email with delivery status and tracked replies, phone calls logged against the account, a customer portal and e-invoicing.
Late fees and interest
None found.
Does best
Collaboration inside the portal: customers log disputes and short-pays themselves, promised payments are captured and monitored, and collectors work an auto-prioritized to-do list.

Cash application matches payments to open invoices with AI and machine learning. AI also reads the tone of customer replies and surfaces risk signals and customer summaries.

Limitations with Versapay. No published price and no Xero or QuickBooks Online connector, which rules out most businesses under $5m a year. SMS is not mentioned, and no late fee or interest function is documented.

How much does accounts receivable collections software cost?

Accounts receivable collections software on this page costs from $49 per user a month (BILL) and $69 a month (Paidnice) to $650 per user a month (Kolleno), with Chaser from $259. Gaviti, HighRadius, Quadient AR and Versapay quote after a demo.

Four pricing meters sit behind those numbers. BILL and Kolleno charge per user. Chaser charges by turnover, so the price rises as the business grows. Paidnice is priced by invoice volume, not revenue: $69 covers 150 invoices a month, and Pro runs from $99 to $799 for 4,000 invoices with unlimited users. Gaviti prices by usage but publishes no figure.

At 300 invoices a month and two users, the lowest published plans cost $1,188 a year on Paidnice Pro, $1,176 on BILL Essentials before receiving fees, $3,108 on Chaser Compact (turnover under $5m) and $15,600 on Kolleno BusinessPay (turnover above $1m), all on monthly billing.

Read the add-ons too. BILL adds $0.59 per ACH receipt and 2.9% per card payment. Chaser meters SMS, letters and calls as credits. Kolleno caps SMS and calls by plan and signs a 24-month term. Paidnice charges SMS at $0.10 and posted letters at $2.00 each.

HighRadius publishes one alternative to a quote: an outcome-based model with no implementation fee and a share of the gain after go-live.

Accounts receivable collections software vs debt collection software: what is the difference?

Accounts receivable collections software works on your own invoices and customers inside your ledger, up to the point where you decide the debt is not coming in. Debt collection software runs the recovery after that point, in an agency or an in-house recovery team.

QuestionAR collections softwareDebt collection software

Chaser passes a stuck debt to its collections partner, Debitura, through a referral. The recovery then runs at the agency.

A small business that needs the recovery side should read debt collection software for small business, and a team weighing AI agents against reminder rules should read the AI collections software comparison.

Billtrust and Esker sit alongside HighRadius for large enterprises on SAP or Oracle. Satago and Credit Hound serve UK Sage teams, and ezyCollect serves Australian businesses. None of them is reviewed here.

What do buyers ask before they shortlist?

Buyers shortlisting accounts receivable collections software ask which accounting software handles receivables best, which tool is most popular, whether a free option exists, and whether QuickBooks or AI can do the job. The answers draw on the same eight tools, from $49 per user a month.

What is the best accounting software for accounts receivable?

The accounting software holds the invoices, and the collections tool chases them. Xero and QuickBooks Online suit businesses up to $50m a year; NetSuite and Sage Intacct suit larger teams. The ledger table above lists which tools connect to each.

What is the most popular accounts receivable software?

By review count on the platforms shown, BILL leads with about 1,800 G2 reviews, then Chaser with 374 on the Xero App Store and HighRadius with 237 on G2. On the Xero App Store, Paidnice shows 5.0 from 83 reviews, Kolleno 5.0 from 18 and Chaser 4.98 from 374.

Is there any free software for accounts receivable?

Paidnice sign-up is free with no card, and the first 20 actions are free with no time limit. Chaser runs a 10-day trial with no card. The quote-only vendors offer a demo instead.

What software do accounts receivable teams use?

A ledger plus one collections tool. Xero or QuickBooks Online teams pair with Paidnice, BILL or Chaser; NetSuite or Sage Intacct teams with Versapay, Quadient AR, Gaviti or Kolleno; SAP or Oracle departments with HighRadius, Billtrust or Esker.

What is the KPI for accounts receivable?

Days sales outstanding (DSO) is the headline KPI: receivables divided by credit sales, multiplied by the days in the period. Collection effectiveness index, aging by bucket and the share of invoices paid on time sit under it.

Can QuickBooks be used for accounts receivable?

Yes. QuickBooks Online raises the invoices and holds the aging report. Collections software adds reminder schedules per customer group, SMS and letters, a portal, late fees and interest, and promise-to-pay tracking.

Can AI do accounts receivable?

Yes, for parts of the job. Gaviti, Kolleno, Quadient AR, Paidnice, Chaser and HighRadius each use AI to draft replies, route work or rank accounts. Paidnice has a person approve the draft unless the policy is pre-approved. The AI collections software comparison separates AI features from rules.
